About Balance Expiration
Overview
Section titled “Overview”In Pokepay, charged balance and point balance automatically expire after the configured expiry date and can no longer be used. Expired balance cannot be used by members for payments, and charged amounts are not refunded.
We recommend checking expired amounts with the methods below for accounting and member support.
Check Expired Amounts for the Entire E-Money Service in Reports
Section titled “Check Expired Amounts for the Entire E-Money Service in Reports”You can check how much balance expired during a specific period from Reports.
- Tap “Menu” in the navigation bar.
- Tap “Reports”.
- Use the calendar icon in the top right to select the period, such as day, week, month, or year.
- Select “All Shops” from the shop selection button.
- The “Balance Expiration” item shows the total expired charged balance and point balance for the selected period.
💡 Viewing permissions
The “Balance Expiration” item in Reports and related statistics can be checked only by the owner or admins with access to all shops.
Check Expiration History by Member
Section titled “Check Expiration History by Member”You can check when and how much balance expired for a specific member from the member’s Transaction History.
- Tap “Menu” in the navigation bar.
- Tap “Members” and select the target member.
- In the “Overview” tab, tap “Show More” under Latest Transactions.
- The expired balance appears with the transaction type “Balance Expiration”.
Export Files and Check Expiration Rows
Section titled “Export Files and Check Expiration Rows”You can also use Export to download expired transaction data in CSV or XLSX format for analysis and aggregation.
- Tap “Menu” in the navigation bar.
- Tap “Export” and select “New”.
- Select “Transaction and Member List” and create the export.
- Download the exported file and check rows where the transaction type column is “Balance Expiration”.
💡 Tip: prevent expiration
Configure expiry reminder notifications to send push notifications or emails to target members before their balance expires. This can help encourage return visits.
